Election Time!
Due to the current Pandemic and the uncertainty of everything, meetings and elections had been put aside however we still need to elect a new board for the next school year. We may not be able to fundraise or host large events, but we can still be there to support our school, our students, our families, and our community to the best of our abilities available.
Are you interested in becoming more involved in your student’s campus and with Glenn York Elementary PTO? Consider serving as a board member or as a member rep next year. Or, do you know someone who you feel would be a great addition to the PTO? We are taking nominations now for the 2020-2021 PTO Board and Member Representative positions. In the past, the board has consisted of parents from a variety of backgrounds including: full-time healthcare workers, stay-at home moms, entrepreneurs, telecommunications, and realtors. We are a hard-working cohesive group with the main goal of making Glenn York the best school around!
All nominations must be in by Friday, June 12th and will be voted on via a Google Form ballot, and the new Board will be announced on Wednesday, June 24th, 2020. We will post the ballot on our Facebook, email blast and ask Principal Hicks to send out on weekly email blast.

PTO Board Position Descriptions
PTO President
Duties of the PTO President include, but are not limited to:
- Preside at all meetings of the PTO and Executive Board
- Appoint chairpersons of the standing and special committees, as well as act as ex-officio member of all said committees with the exception of the Nominating Committee.
- Act as official spokesperson for the PTO
- Co-sign PTO checks with Vice President or Treasurer.
- Coordinate the work of the officers and committees of the organization in order that the objectives may be promoted.
- Communicate with the principal to ensure he/she receives all necessary information concerning the PTO.
- Perform other duties as may be prescribed in bylaws or assigned to this office by the organization.
PTO Vice President
Duties of the PTO Vice President include, but are not limited to:
- Assist the President in the discharge of his/her duties
- Perform all duties of the President in the event that the President is absent, unable, or unwilling to execute such duties.
- Responsible for membership drive and maintaining membership records.
- Co-sign PTO checks with President or Treasurer.
- Serve as a member of the audit committee.
- Perform other duties as may be prescribed in bylaws or assigned to this office by the organization.
PTO Secretary
Duties of the PTO Secretary include, but are not limited to:
- Keep minutes of all executive board and general meetings of the organization.
- Submit copies of minutes to officers and the principal prior to the monthly board meeting.
- Present minutes at each meeting.
- Maintain database
- Maintain/update social media.
- Perform other duties as may be prescribed in bylaws or assigned to this office by the organization.
PTO Co-Secretary
Duties of the PTO Co-Secretary include, but are not limited to:
- Issue notices of all meetings of the organization.
- Submit monthly activities to school newsletter for publication.
- Coordinate other correspondence as needed for events or fundraisers.
- Assist the Secretary in the discharge of his/her duties.
- Perform all duties of the Secretary in the event that the President is absent, unable, or unwilling to execute such duties.
PTO Treasurer
Duties of the PTO Treasurer include, but are not limited to:
- Keep accurate records of the organization. Books must be of audit quality to pass an annual audit by the school district or IRS.
- Process and co-sign, with the President or Vice President, checks for all the organization’s purchases.
- Reconcile accounts monthly.
- File state sales tax reports and income tax reports to the IRS annually.
- Supply the president with monthly balance sheets on the organization’s funds balance.
- Report at PTO meetings and prepare preliminary annual balance sheet and year-to-date income statement for submission at the End-of-Year meeting.
- Prepare annual Financial Report and Financial Certification for Alvin ISD finance department
- Perform other duties as may be prescribed in bylaws or assigned to this office by the organization.
PTO Member Representatives
Duties of the PTO Member Representatives include, but are not limited to:
- Provide representation of the general membership at Board meetings.
- Serve as a contact point between the general membership and the elected officers.
- Perform other duties as may be prescribed in bylaws or assigned to this office by the organization.
